JOB DESCRIPTION: School Operations Manager

JOB TITLE: Operations Manager - School

REPORTS TOSchool Director/Chief Operations Manager

JOB GOAL: This position is responsible for managing the school’s general business operations.

MAJOR RESPONSIBILITIES AND DUTIES:

The Operations Manager will:

1. Provide and/or supervise required reports for all school operations including, but not limited to, enrollment, attendance, funds accounting, payroll, and transportation;

2. Manages daily administrative operations including establishing work priorities, assists in resolving problems related to day-to-day operations of the school.

3. Responsible for maintenance of entire office, including reception, storage rooms, and conference rooms.

4. Administers main phone system, responsible for adding new employees and removing terminated employees

5. Maintains office security: administration of security passes provided to full-time employees

6. Oversees, coordinates, maintains, and/or processes payroll time sheets, sick and annual leave documents, travel reimbursements, purchasing documents, and/or employment documents for school-based faculty and staff.

7. Oversees the maintenance of school-based records

8. Ensure all classes and duties are covered when staff members do not report to work.

9. Supervise the school’s auxiliary services – transportation, food service, and vendor relationships

10. Maintain cash receipts and disbursement journals;

11. Manage the use of the YES plant and grounds, supervise the maintenance to the physical plant and grounds to ensure a clean, orderly, and safe environment;

12. Demonstrate behavior that is professional, ethical, and responsible; and

13. Participate in workshops, seminars, and conferences to enhance knowledge and skills.

14. Demonstrate knowledge of, and support, YES College Preparatory Schools mission, values, standards, policies and procedures, confidentiality standards, and code of ethical behavior as stated in Employee Handbook.

15. Comply with all state and federal laws, local board policies, administrative guidelines, and the Texas Educators Code of Ethics;

16. Serve as appropriate role model for YES colleagues, students, staff, and parents;

17. Conduct all YES meetings in a professional manner;

18. Demonstrate trustworthiness in dealing in confidential matters; and

19. Make decisions regarding students and staff after reasonable and appropriate measures have been taken to gather important data and information; solicit input from outside sources when appropriate.

QUALIFICATIONS:

The ideal candidate for this position will possess the following:

Education/Certification:

Bachelor’s Degree from an accredited four-year educational institution

Experience/Skills:

• Excellent communication, public relations, and interpersonal skills

• Excellent organizational skills;

• Ability to evaluate problems and implement effective and creative solutions.

• Ability to prepare routine administrative paperwork

• Knowledge of supplies, equipment, and/or services ordering and inventory control

• Ability to gather data, compile information, and prepare reports

• Ability to analyze, develop, establish, and maintain efficient office work flow and administrative processes

• Knowledge of finance, accounting, budgeting, and cost control procedures

• Records maintenance skills

• Ability to maintain the highest level of confidentiality

• Ability to exercise excellent judgment in decision-making;

• Knowledge of the laws, rules, procedures, and programs specifically related to the business operation of public schools in Texas

COMMITMENT AND COMPENSATION:

Length of Work Year: 11 months; occasional evening and weekend commitments will also be required
